SALARY:                                           $35,456.00 annually

                                                            $1,363.69 bi-weekly

                                                            $17.05 per hour

REPORTS TO:                                   Clerk of the Court

DEPUTY COURT CLERK

JOB SUMMARY:

Performs a wide variety of routine and complex administrative and clerical tasks for the Municipal Court. Responsible for processing and preparing cases for final disposition; ensuring warrants are properly issued and recalled; balancing and recording the financial function of the court; ensuring court records are accurate; maintaining the Court docket.  Works closely with the Municipal Court Judge.

SUPERVISION RECEIVED:        

Work is performed under the general supervision of the Clerk of the Court.

PRIMARY DUTIES AND RESPONSIBILITIES:

  1. Assists the Clerk of the Court in the preparation of the annual budget requests for the Municipal Court.
  1. Administers criminal proceedings and docketing.
  1. Prepares correspondence and maintains records.
  1. Oversees deferrals, probations and pre-sentencing and compliance matters.
  1. Disposes and explains laws and court procedures to defendants.
  1. Ensures that warrants are properly issued and recalled.
  1. Records and balances financial functions of the court.
  1. Administers the receipting, depositing, and accounting of monies for fines, forfeitures, and other court receipts.
  1. Receives, logs and indexes incoming filings, citations, and complaints.
  1. Responds to counter, telephone, and written inquiries.
  1. Initiates related paperwork as needed by defendants to facilitate their response to a citation or complaint.
  1. Files all papers, dockets, index cards, case files, and case related correspondence.
  1. Performs a variety of courtroom related tasks, coordinates teen court.
  1. Researches and copies laws.
  1. Initiates Failure to Pay, Failure to Comply, Failure to Appear and violate Promise to Appear notices.
  1. Constructs new case files, filing and retrieving documents, as necessary.
  1. Prepares files for court use and processes timely notices to defendants of arraignments.
  1. Initiates requests for driving and criminal records.
  1. Responds to requests from Municipal Judge, City Prosecutor, Police Department and others for assistance and information.
  1. Notarizes complaints.
  1. Assist Municipal Court Judge in Teen Court the first Thursday night of each month as needed.
  1. May serve on a variety of City committees relating to the general operation of the City administration.
  1. Performs other duties as assigned.
  1. Attendance and timeliness are essential functions of the job.

MINIMUM QUALIFICATIONS:

Graduation from high school or equivalent; one (1) year prior work experience in a municipal court environment; or any combination of education and experience; ability to achieve Level I Texas Court Clerk Certification within twenty-four (24) months of appointment.

KNOWLEDGE:

Ability to learn legal language and legal procedures related to Texas municipal court functions;

ability to learn Texas codes (as they apply to municipal court): Texas Transportation Code;

Texas Alcoholic And Beverage Code; Texas Penal Code; Texas Health And Safety Code; Texas

Code Of Criminal Procedures; Texas Family Code; Texas Education Code; Texas Government

Code; Texas Local Government Code; and Texas Code of Judicial Conduct.

SKILLS:

Skill in the operation of computer and computer network system, including specialized court software; 10-key calculator; typewrite; telephone; copy and fax machines; ability to maintain accurate records; ability to type and enter data accurately; ability to type 40 wpm.

ABILITIES:

   

Ability to receive written and oral instructions; ability to attend training within state requiring

travel and stays over several nights; and ability to attend training the first available new clerk

seminar following appointment.

Any work related experience resulting in acceptable proficiency levels in the above required knowledge, skills and abilities is an acceptable substitute for the above specified education and experience requirements.
