Position Opening:
Texas Municipal Courts Association Coordinator
Immediate opening for the TMCA Coordinator position. The coordinator is an independent contractor reporting directly to the TMCA Board of Directors. The coordinator is responsible for working with all members of the TMCA, the Board of Directors, Committee Chairs, and the Treasurer. The coordinator will work no more than 80 hours per month, and the salary is commensurate with experience.
The coordinator must supply the necessary tools, such as a computer compatible with current website platform, a scanner, general office supplies, and reliable transportation. This position requires sharing a phone number and email address with the Board of Directors. As an independent contractor, the coordinator is fully responsible for income tax, social security, Medicare and insurance payments and will receive monthly compensation based upon the hours submitted for the previous month.
The coordinator must be available to assist the Board of Directors with inquiries, conferences, or meetings as necessary during regular business hours (Monday-Friday, 8:00-5:00, excluding Federal Holidays). The coordinator will also be required to virtually attend the quarterly Board Meetings held in September, January and April of each year, and to appear in person for the final quarterly meeting held in July.
This position requires experience with bookkeeping, proficiency in typing and data entry, the ability to coordinator workflow, and the preparation of reports. Experience with website management and the daily operations and procedures within a Municipal Court are preferred. Applicants must be able to manage and perform multiple tasks, often while under pressure, with courtesy, tact and diplomacy. Independent decision-making, effective organizational skills, self-direction, and the ability to schedule and complete assignments with minimal supervision are necessary.
The coordinator is responsible for executing a range of administrative and clerical duties, including but not limited to:
- · Managing membership records upon payment of membership dues
- · Design and manage website content
- · Prepare reports to members of the Board
- · Electronic communication from the website
- · Attend and assist with the Annual Meeting event
- · Assist with judicial award nominations and purchasing of awards
- · Create and update board meetings agendas
- · Assist with the board of director nominations and elections
- · Create, manage and email reminders regarding Fiscal Calendar events
- · Email letters from the President to TMCEC registrants
- · Monitor and manage invoices more than 90 days old
- · Communicating with Course Directors regarding TMCEC seminars
- · Retention of association records according to the Retention Schedule
- · Other duties as requested by Board of Directors
