The City of Friendswood is currently accepting applications for a full-time Deputy Court Clerk in the Administrative Services Department - Municipal Court. This position will provide a variety of clerical duties related to the procedures, laws and record keeping tasks of a Municipal Court.
WORK PERFORMED:
- Performs common customer service functions for walk-in and phone customers, as directed.
- Computer data entry of Class C misdemeanor charges filed in Municipal Court.
- Maintain and update all records on computer and case files.
- Process payments of Class C misdemeanor cases, manage payment schedule for defendants granted time payments.
- Prepare docket or calendar of cases to be called.
- Secure information for judges, contact witnesses, attorneys, litigants to obtain information for court settings.
- Prepare, select and summons jury as required for court hearings.
- Collect and distribute information as required by approved motion for discovery.
- Review and respond to requests for information under Rule 12 of the Judicial Code.
- Examine legal documents submitted to court for adherence to law or court procedures, prepare case folders, post and route documents.
- Answers phone inquiries regarding cases, payments and payment processing, and policies for court.
- Opens, sorts, and distributes incoming mail. Collects, seals, and stamps outgoing mail.
- Prepares official city correspondences such as hearing notices, summons, subpoenas, etc.
- Performs other clerical duties as needed, such as typing routine correspondence, data entry, filing, faxing, photocopying, collating, and electronically retain documents for retention using scanning system.
- Ability to deal with hostile citizens and/or emotionally charged consumers.
- Other duties may be assigned.
SKILLS, KNOWLEDGE AND ABILITIES:
- Education and Experience: High school diploma, Associate Degree preferred and one to three years in a related field.
- License, Registry, Certification: Level I Court Clerk Certification within 2 years of hire, Ability to obtain and maintain SETCIC (Southeast Texas Crime Information Center) certification.
- Communication skills: English is required for some specific assignments based upon job-related needs for communication with the public and/or co-workers. Bilingual skills (Spanish/English) are required.
- Interpersonal: Significant level of trust, diplomacy, courtesy, and tact required in direct personal contact with internal and external municipal customers, lawyers, and contractors to gather information build working relationships, complete reports, foster cooperation and interact appropriately in highly stressful situations.
- Problem Solving and Mental Process: Ability to use sound judgment, ingenuity and analytical abilities needed to offer solutions to issues encountered involving concrete variables in standardized situations. Ability to read and comprehend instructions, interpret, and enforce statutes, ordinances, and regulations. Ability to apply common sense understanding to carry out detailed, written, or verbal instructions. Ability to perform addition, subtraction, multiplication, division, fractions and decimals, compute rates, ratio, percentages and interpret charts and graphs.
- Decision Making: Made by following specialized job standards and specific policies within the latitude permitted for independent judgment. May be made by past experience, consultation with supervisor and/or adherence to state proscribe procedures.
- Computer and Equipment Skills: General personal computer knowledge with some experience in Microsoft Office products (Word, Excel and Outlook), software networks
This position may require 24-hour availability during emergency conditions.
