Job Summary |
The Deputy Court Clerk performs a wide variety of clerical, cashiering, collection, and administrative support duties for the City of Bryan Municipal Court. This position requires significant public interaction and occasionally involves situations of conflict that requires considerable tact and judgment.

Essential Job Functions |
- Assists customers in person (at lobby window), by phone, and by mail by answering questions related to court processes, procedures, documentation, fees, cases, or other issues.
- Accepts required and/or court-ordered documents from customers such as proper identification, copy of insurance, motor vehicle registration receipt, driving record, etc.
- Collects court fines and fees, issues receipts, balances daily collections, and prepares daily deposits.
- Assists customers with payment plans, keeping them informed of the terms and conditions required to adhere to collection plan guidelines.
- Schedules court dates and defensive driving courses.
- Maintains customer records in the court’s database system by entering files, court costs, and other fees; scans documents into the computer as needed.
- Prepares appropriate collection information and compliance history before directing customers to the courtroom.
- Assists other Deputy Court Clerks as needed.
- Performs related duties as required.

Minimum Qualifications |
Required:
- High School Diploma or GED, plus some additional training and/or course work in business, public, or office administration.
- At least two (2) years of work experience performing administrative, clerical, legal, financial, call center, and/or similar responsibilities.
Preferred:
- Cash handling experience.
- Previous court and/or legal experience.
Equivalent combinations of education, experience, certification, and training may be considered.

Knowledge, Skills & Abilities |
Knowledge of:
- Proper customer service and telephone etiquette.
- Modern office procedures, methods, and equipment including computers and associated equipment.
- Principles and procedures of record keeping.
Ability to:
- Work independently and efficiently follow established practices and procedures.
- Deal with a high level of customer interaction in person and by phone.
- Learn, understand, and apply Class C misdemeanor laws and city ordinances.
- Handle a diverse set of customer inquiries, comments, and complaints politely and professionally.
- Accurately handle cash and perform money management functions.
- Prioritize multiple tasks, projects, and demands, and meet established deadlines.
- Use a personal computer and appropriate software for word processing, record keeping, and court support functions.
- Prepare clear, concise, and accurate records and reports.
- Utilize correct grammar, spelling, and punctuation.
- Maintain accurate records and files.
- Maintain a high level of integrity and discretion in handling confidential information.
- Demonstrate good judgment and a professional demeanor at all times.
- Take the initiative to learn individual job tasks and continue to broaden knowledge levels by willingly accepting new responsibilities and attending training to advance skills.
- Demonstrate satisfactory work performance and willingness to improve methods of work accomplishments.
- Demonstrate regular, reliable, and punctual attendance and utilize leave responsibly to ensure sufficient coverage of departmental operations.
- Abide by City and department administrative directives, policies, and procedures.
- Provide management with sound, positive advice, and information concerning the incumbent’s area of responsibility.
- Establish and maintain cooperative working relationships with those contacted in the course of work and communicate effectively with the public and other required entities.
Skills:
- Strong written and verbal communication skills.
- Strong customer service skills with the ability to remain calm in sometimes stressful situations.
- Bilingual (Spanish/English) skills are preferred, but not required.

Licenses, Certifications & Special Requirements |
Required:
- Texas Class C driver’s license with a good driving record as measured by the City’s evaluation system.
- Must be able to pass an extensive pre-employment background check. (Applicants must not possess a felony or Class A misdemeanor conviction; or a Class B misdemeanor conviction within the past 10 years.)
- Must be able to work occasional flexible hours/days.
Preferred:
- Texas Court Clerk Certification (Level I or higher).

Physical Demands |
Physical demands include but are not limited to: sitting, talking, hearing, seeing, standing, walking, driving, bending, reaching, twisting, pushing, pulling, using hands and fingers to operate office equipment and machines, and occasionally lifting and/or moving objects up to and including 25 pounds.

Working Conditions |
Work is performed primarily in an office setting or a well-lighted and temperature-controlled working environment.

Equipment |
Work shall be performed with tools, appliances, and equipment approved by those agencies and bodies that have control, authority, or approval of the design working ranges or limitations of those items; the employee has the responsibility to conform to those ranges and limitations.
Equipment may include but is not limited to: multi-line telephone, computer, printer, fax, copier, scanner, and calculator.
