The position of Deputy Court Clerk performs a wide variety of administrative duties in support of the municipal court. Key skills needed for this position are the ability to provide strong customer service and be highly adaptable; able to switch gears on a continual basis. Strong organization, attention to detail, critical thinking skills, and technical ability is crucial. You must be able to work cohesively with a diverse team and take pride in contributing to a positive and inclusive work environment.  

The Position

Exceptional Customer Service: Interact with the public, defendants, attorneys, jurors, and other court users by providing assistance and accurate information regarding court procedures, case status, and general information. Communicate effectively in person, in writing, and by phone. Maintain professionalism and be able to effectively navigate escalated interactions.

Recordkeeping & Data Entry: Maintain accurate, detailed, and up-to-date court records, including citations, complaints, summons, warrants, correspondence, and other court documents and reports. Sort, file, copy, and distribute mail, correspondence, and other court paperwork to appropriate personnel. Coordinate and prepare documents for the judges to review and sign.

Financial Transactions: Process payments, refunds, and posting of bonds in municipal court cases. Proficiently count, verify and manage cash and credit card transactions. Process daily deposits.

Case Management: Schedule, prepare, and coordinate the court’s calendar and docketing. Prepare and send required hearing notices. Prepare and distribute summonses to potential jurors, oversee juror qualification process and assist jurors during trial.

Courtroom Support: Organize and prepare case files for court hearings. Provide administrative support to the judge in the courtroom; facilitating communication between the judge, attorneys, defendants, and court personnel. Relay messages and information and provide instructions or documentation to defendants and attorneys as directed.

Acceptable Experience, Training, Certifications and Licenses

High School Diploma or the equivalent; and

At least two (2) years clerical work experience requiring public contact; attention to detail is essential for consideration of this position, and previous court experience preferred; or,
 
Any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.


Must be bilingual in English and Spanish

Certifications and Licenses
Texas Municipal Court Clerk Certification, Level I or the ability to obtain this certification within two (2) years of hire.

Supplemental Information

Knowledge of:  

  • Standard administrative practices and procedures.
  • Use of standard office equipment including copier, calculator, multi-line telephone, and computer. Standard word processing, spreadsheet, and software applications. 
  • Money handling. 
  • Legal terminology and municipal court procedure a plus. 
 
Skills/Abilities: 
  • Demonstrate excellence in customer service proficiency in both oral and written communication. 
  • Maintain and establish effective working relationships with your team, other city employees, outside agencies, court officials, and the general public. 
  • Demonstrate ability to switch gears and remain flexible and responsive in handling varied responsibilities.
  • Think critically and identify complex issues that require quick and effective problem-solving within the Court’s processes. 
  • Be excited by continuous learning and adapting to the evolving legal terminology, principles, and court procedure. 
  • Maintain confidential and sensitive information.


Physical Demands
 While performing the duties of this job, the employee is regularly required to walk. The employee frequently is required to stand; sit; reach with hands and arms; and perform repetitive motions with wrists, hands, and fingers; stoop, kneel, crouch, or crawl; and talk or hear. The employee is occasionally required to climb or balance. The employee must occasionally lift and/or move up to 10 pounds.
