Court Clerk - City of Hunters Creek

Job Description

Under the general supervision of the City Administrator performs a variety of routine and complex clerical, financial and administrative tasks in the administration of the court.

Maintains court calendar for all dockets, enter citations as received from the Police Department, send letters and past due notices for first fines, post and prepare deposits and collect fines and fees, maintain accurate court records, prepare documents for Trials and Pre-Trials, docket, complaints, judgments and prepare all necessary paperwork for judge and city prosecutor.

Responds to requests from Municipal Judge, City Prosecutors, Police Department and others for assistance and information; processes discovery activity required from the office;

- Other duties as required.

Job Requirements:

  • Assist in administering criminal processing and docketing; explaining procedures to defendants;
  • Coordinate with judges, attorneys, and other court personnel to facilitate smooth courtroom operations.
  • Maintain accurate records of court proceedings, including case filings, dispositions, and judgments.
  • Organize and update case files, ensuring all documentation is complete and accessible for court hearings.
  • Receipts, deposits and accounts for monies for fines, forfeitures and other court receipts;
  • Prepares reports for state and local agencies;
  • Responds to counter, telephone and written inquiries;
  • Process payments for fines, fees, and court costs, ensuring accuracy and compliance with established procedures.
  • Performs primary filing of all papers, dockets, index cards, case files and cause related correspondence;
  • Processes Failure to Pay, Failure to Comply and Failure to Appear notices;
  • Constructs new case files, filing and retrieving documents as necessary
  • Prepares and maintains appropriate calendars; set up court hearings
  • Prepares files for court use, processes timely notices to defendants of arraignments, trials and hearings;
  • Responds to requests from Municipal Judge, City Prosecutors, Police Department and others for assistance and information; processes discovery activity required from the office;
  • Performs a variety of courtroom related tasks and making exhibits in order of presentation in court cases;
  • Starting Up to $70,000 (DOQ) - $33.65 hr.
  • Experience with Incode Court Software - REQUIRED
  • Possession of a Certified Municipal Level I Court Clerk Certificate- REQUIRED
  • Bi-lingual (Spanish/English) is strongly preferred, but not required.
  • Must be able to work one (1) court night a month. The second Wednesday of each month.
